Marketing Assistant

The Marketing Assistant provides support to the sales and marketing team for marketing communications, marketing programs, meetings, events, webinars, conferences, channel partner meetings, client support and special programs as required.

Principal Duties and Responsibilities

  • Support Marketing Manager, Marketing Associate and Tradeshow Coordinator with scheduling meetings, booking meeting rooms, communicating with presenters and other stakeholders
  • Maintain schedules for marketing meetings, webinars and other presentations
  • Organize communications and logistics for webinars and Go to Meeting presentations
  • Post meeting and webinar schedules in Outlook to ensure attendance by key participants
  • Assist in the creation sales support materials in Power Point, Illustrator and Photoshop software.
  • Assist in setting up events in Exhibit Force software
  • Create and circulate Survey Monkey projects, and summarize results
  • Assist with website data and updating web pages
  • Assist executive and sales team members with information and schedules  for tradeshows
  • Ship and materials to tradeshows, monitor tracking, confirm arrival
  • Process tradeshow leads with CRM look-up and summaries
  • Maintain inventory of tradeshow materials and giveaways
  • Other projects or assignments as required

Knowledge, Skills and Abilities Required

  • A minimum of two years’ experience in an similar role in a marketing, sales, client support, advertising agency, event planning or tradeshow environment
  • Experience in conducting webinars and group presentations. 
  • Baccalaureate Degree in a related area of study or an equivalent combination of experience and training
  • Proficiently with programs such as GoToMeeting, GoToWebinar and/or WebEx
  • Proficiency with MS Office Products: Word, Excel, PowerPoint, Outlook and Visio
  • Experience with Illustrator and Photoshop Software
  • Experience with CRM systems 
  • Experience with Exhibit Force Software preferred
  • Knowledge of Healthcare Information Technology and Terminology preferred

Working Conditions/Physical Requirements of the Job

  • Office environment
  • Computer work, including transporting laptops to internal meetings
  • Some lifting of exhibit materials and sales materials; less than 50 lbs.
  • Occasional travel to tradeshows and events, including weekends and holidays, may be required
